Creating and managing viewers and viewer groups

In BIME, you can restrict access for dashboards, queries, and attributes to set users. These users are viewers. You can grant permission to viewers by placing them in a viewer group.

Creating viewers and viewer groups

This section discusses how to create viewers and viewer groups in the Admin menu. When you share a dashboard, you can use the same steps to create a new viewer or viewer group.

Creating viewer groups

Before you can create viewers, you must first create viewer groups. If you have not created a viewer group yet, please follow the steps below. If you have already created one or more viewer groups, follow the steps in To create an additional viewer group.

To create your first viewer group

  1. Click the Admin icon ().
  2. On the bar at the top of the page, select Viewers () .
  3. After you click Let's create one, enter your group name in the textbox. 

  4. Click the Save.
  5. You will automatically be redirected to the Viewers menu.
To create an additional viewer group
  1. Click the Admin icon () , then select Viewers.
  2. Click the Add group button().
  3. Enter in the name of your group.

  4. Click Save.

Creating viewers

After you create viewer group, you can begin to create viewers. There are two methods for creating viewers. You can either add them individually or through a bulk import. A bulk import is optimal for adding multiple viewers at one time.

A user can only be in one viewer group at a time, so it might be easier to have viewer groups with only one viewer. 

To add individual viewers

  1. Click the Admin icon () , then select Viewers.
  2. Click Add user ().
  3. Enter your viewer's email address, a new password, and their viewer group.

  4. Click Save.

 

To add multiple viewers
  1. Click the Admin icon () , then select Viewers.
  2. Click the Import button ()
  3. In the pop-up menu, select your CSV file.
  4. Your CSV file should contain the viewer's email, a new password, and their group. The headings for these columns must be 'login', 'password', and 'group name'.

  5. After you import your file, click Ok.
  6. Your viewers will be imported.

Managing viewers and viewer groups

After you create a viewer or viewer group, you can edit their settings. Editing group details will affect all viewers in that group. For example, if you delete a viewer group, all viewers in that group will be deleted as well.

Managing viewer groups

You can either rename or delete a viewer group. Permissions will not change if you rename a group.

To manage a viewer group

  1. In the Viewers menu, select the viewer group you would like to edit.

  2. To rename your group, enter in a new name.
  3. Click Save when finished. Your group will be renamed in every place it is mentioned.
  4. You can also delete your group by clicking Delete

Managing viewers

When you create a new viewer, you can edit their email address, password, and group.

To manage viewers

  1. In the Viewers menu, select the viewer you would like to edit.
  2. Enter any new information in the User details text boxes.

     

  3. Click Save when finished.
  4. You can also delete your viewer by clicking Delete.
