No matter how beautiful or useful your dashboards might be, people are forgetful and need reminders to stay up-to-date on the numbers. Features like automatic dashboard delivery help bring important metrics directly to your team's inbox.
But what happens when your team's inbox is an abyss of unread emails? How do you keep everyone updated or get everyone mobilized when something goes awry?
Luckily you can use tools like Slack, Flowdock, and Yammer to communicate and collaborate more fluidly. You can set up automatic alerts to push updates directly to your team's preferred collaboration tool. This way, your team has one place to chat, collaborate, and share successes, while staying on top of the metrics that help them do their job.
Setting up alerts
Navigate to the integration section of your Slack, Flowdock, or Yammer. Then, enable email integration. The image below is from Flowdock's integration page.
- After you've enabled the email integration, you'll receive an email address that you can use for inbound email forwarding. Copy the email address.
Create a new group of named users (see,
Creating and managing named groups and named user
s). Enter the copied email address as the email address for a new user.
Manage email subscriptions
tab. Set a scheduled email delivery for the group (see,
Sharing dashboards through email
). Include the dashboard as an image, so your whole team can view information.
Note: Make sure that this newly created group has the ability to view this dashboard before you set the schedule.
- For near real-time monitoring, set the delivery frequency to EveryNMin with an interval of five minutes. Check the Only if box and specify the condition that must be met for a dashboard alert to trigger. The example above sends an alert when the amount of tickets received passes 250. It is recommended that the refresh rate be as low as possible. In this case, make sure the related cache is also updated to reflect the delivery time.
- Click Save , and you and your team are on your way to collaborate more effectively around your data.
